About the Role
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our Chief Operating Officer (COO) during a critical phase of company growth and operational expansion. This role is ideal for a professional who thrives in fast-paced environments, anticipates needs before they arise, and can confidently help maintain operational continuity across multiple functions.
The Executive Assistant will serve as a strategic partner to the COO, managing priorities, coordinating cross-functional initiatives, and helping oversee activities across key departments, including sourcing, product development and design, accounting, operations, and sales. This individual will play an important role in ensuring alignment, accountability, and communication across teams while helping leadership execute strategic objectives.
Key Responsibilities
- Manage complex calendars, meetings, travel arrangements, and executive communications
- Coordinate and monitor initiatives across sourcing, design, accounting, operations, sales, and other departments
- Track departmental priorities, project timelines, and key performance indicators to ensure initiatives remain on schedule
- Follow up with department leaders on deliverables, action items, and operational objectives
- Prepare reports, presentations, dashboards, meeting agendas, and executive summaries
- Serve as a liaison between leadership, internal teams, clients, vendors, and external partners
- Support cross-functional collaboration by facilitating communication and information flow between departments
- Identify bottlenecks, escalate issues when necessary, and help drive resolution of operational challenges
- Help streamline processes and improve organizational efficiency
- Handle confidential and sensitive information with professionalism and discretion
- Support executive decision-making through organization, research, analysis, and prioritization
- Assist in maintaining continuity of daily business operations and leadership workflows
Qualifications
- 3+ years of experience supporting senior executives, ideally at the C-suite level
- Experience coordinating projects or operations across multiple departments
- Strong understanding of business operations, project management, and cross-functional workflows
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Conversational English proficiency required, with the ability to communicate effectively in meetings, written correspondence, and cross-functional collaboration
- Ability to multitask and prioritize effectively in a fast-paced environment
- High level of professionalism, discretion, and emotional intelligence
- Proficiency with Google Workspace, Microsoft Office, ERP systems, and project management tools
- Self-starter with a problem-solving mindset and strong attention to detail
- Experience in manufacturing, consumer products, sourcing, supply chain, product development, or operations is a plus

Pay: $2,000,000.00 - $2,500,000.00 per month
