$90,000 - $97,000 plus Super (depending on experience)

Role Purpose
The Project Administrator / Project Coordinator provides end‑to‑end project coordination, administrative and operational support across multiple client programs, projects and service engagements delivered by TTC Australia.
The role supports Project Managers, senior leadership and consultants to ensure effective governance, reporting, delivery coordination and operational readiness across concurrent engagements.
Key Responsibilities
Project Coordination & Governance
·Provide coordination and operational support across multiple concurrent programs, projects and client engagements.
·Support Project Managers with project governance activities, including maintaining project management plans, delivery artefacts and schedules.
·Prepare and maintain project schedules, Gantt charts and delivery trackers to monitor milestones, dependencies and progress.
·Maintain risk registers and issue logs, updating risk ratings and escalating matters requiring attention through appropriate governance channels.
Contract Administration & Documentation
·Develop, review and maintain Statements of Work (SOWs), service agreements and contract documentation.
·Coordinate contract variations and amendments, including documentation of scope changes.
·Maintain project documentation, registers and records, ensuring accuracy, version control and compliance with organisational standards.
Stakeholder & Issue Management
·Respond to enquiries from clients, consultants and internal stakeholders regarding contracts, deliverables, onboarding and project services.
·Work closely with Project Managers, consultants and senior leadership to ensure alignment on project goals, milestones and deliverables.
·Provide structured updates and briefings to senior stakeholders on matters requiring attention.
Reporting, Data Analysis & Financial Governance
·Prepare project status reports, dashboards and briefing materials for senior leadership and clients.
·Collect and analyse project data including timesheets, utilisation data and delivery metrics.
·Support financial governance activities including purchase orders, invoicing and supplier coordination.
Consultant Onboarding & Operational Support
·Coordinate consultant onboarding activities including compliance checks, documentation, system access and readiness requirements.
·Maintain onboarding checklists and track completion against agreed timelines.
·Coordinate office accommodation, workspace and logistical support for consultants and project teams.
Events, Workshops & Marketing Support
·Support the delivery of TTC projects including events, workshops, exhibitions and marketing activities.
·Coordinate logistics, schedules, stakeholder communications and follow‑up reporting.
Quality Assurance & Continuous Improvement
·Review client submissions and reporting materials to ensure quality, consistency and alignment with service standards.
·Identify opportunities for process improvement and contribute to enhancements in project delivery and operational practices.
Skills & Experience
Qualifications
The role requires a level of qualification equivalent to an AQF Diploma or alternatively 3 years of relevant work experience will substitute for the formal qualification.
Required Skills & Experience
·The role requires at least 12 months full-time experience in a Project Administrator, Project Coordinator or PMO support role
·Experience supporting multiple concurrent projects and client engagements
·Strong governance, documentation and reporting capability
·Experience with project scheduling, RAID registers and delivery tracking
·Strong stakeholder communication and coordination skills
·Experience supporting financial administration (invoicing, POs, budgets)
·Strong attention to detail and organisational skills

Pay: $90,000.00 – $95,000.00 per year
